How to Calculate Your Nanny Cost

The math is straightforward. Start with the nanny's hourly rate for your area. Multiply by your weekly hours, then by 4.33 (average weeks per month). That's the gross wages. Add 12% for employer overhead — payroll taxes, unemployment insurance, workers' comp — and you have your actual monthly cost.

Example: A nanny at $20/hr working 40 hours/week. Gross wages: $20 × 40 × 4.33 = $3,464/month. Add 12% employer taxes: $3,464 × 1.12 = $3,880/month. That's $46,560/year before any paid time off or backup care costs.

What Drives Nanny Rates Higher

  • Location: The single biggest factor. DC and Massachusetts nannies earn 2–2.5× more than those in Alabama or Mississippi.
  • Experience and credentials: Certified Early Childhood educators or nannies with 5+ years experience command a 15–25% premium.
  • Infant care: Newborn and infant care (0–12 months) commands $2–$4/hr more than toddler care due to the skill and attention required.
  • Additional duties: Light housekeeping, cooking, tutoring, or driving add to the rate.
  • Live-in arrangements: Live-in nannies earn less in gross wages (housing is compensation) but the family's true cost is similar when room and board are factored in.

Employer Taxes: What You Owe

When you hire a nanny, you become a household employer under IRS rules — regardless of how few hours they work or whether you think of it as "just babysitting." The IRS is clear on this. Required payments:

  • Employer Social Security and Medicare: 7.65% of gross wages (matched; the nanny also pays 7.65% from their paycheck)
  • Federal Unemployment Tax (FUTA): 0.6% on the first $7,000 in wages per year ($42 annually)
  • State unemployment insurance: Varies by state, typically 1–4% of wages
  • Workers' compensation: Required in most states, typically $400–$900/year for a household employee

Budget 20–25% above the nanny's gross wages for total employer cost. A payroll service (GTM Payroll, HomePay) handles quarterly filings and Schedule H for $500–$800/year.

Multiple Children: How Rates Change

A nanny watching two children earns more than for one — but not double. Standard practice: 15–25% above the single-child rate when adding a second child. For a third child: another 10–15% above the two-child rate. The family's cost-per-child drops significantly compared to separate daycare spots for each child.

Example in Massachusetts: Single nanny rate $3,800/month employer cost. Two kids: approximately $4,370/month (15% premium). That's $2,185 per child — still more than one daycare spot at $2,200/month, but the difference is minimal and you gain schedule flexibility for both children.
